ReadSoft DOCUMENTS for Mailrooms enables inbound information to be captured, classified, indexed and routed to the appropriate department or personnel – reducing or eliminating complex workflow/approval processes.

Our solution manages a wide range of documents including:

  • Structured (such as application forms)

  • Semi-structured (such as standing orders, change of address, purchase invoices)

  • Unstructured (such as letters and faxes)

...as well as email and other electronic data streams, such as XML.

Inbound content can then be automatically managed and routed to trigger a wide range of business processes, from invoice processing to claims management.

Core functions in one integrated solution

ReadSoft DOCUMENTS for Mailrooms can be deployed as a total digital mailroom solution, or organisations can take advantage of core functions to meet specific business or operational requirements.

Capture

Our solution captures and processes all types of content in any format, including: paper forms, faxes, Internet forms, email, XML files, digital images (TIFF, JPG, PNG, BMP) and digital pens.

It also reads and processes handwritten text, machine-print, barcodes, check boxes, circles, tables, matrixes — pretty much everything you can throw at it.

Classification

ReadSoft’s solution automatically classifies documents using the very latest technology, enabling multiple types of classification to be performed, using built-in intelligence to identify the type and format of each document.

It "learns" about the features of an existing document and can apply this intelligence to the classification of new documents – automatically and within your business rules.

Indexing

In addition to classification, ReadSoft’s intelligent search engines can automatically locate index fields within structured, semi-structured and unstructured document types.

This means existing manual indexing routines can be replaced, ensuring documents are easily identifiable and retrievable for next-stage processing.

Routing

The information can be classified according to content, format and/or an organisation’s own business rules.

After that, it is automatically routed to workflow, ECM and ERP systems (such as SAP, Oracle and JD Edwards), as well as to databases/archives.

Compliance

In addition, ReadSoft DOCUMENTS for Mailrooms enables organisations to track mail progress, from the point of entry to delivery, identifying bottlenecks and maximising throughput – so nothing gets delayed or lost. A full audit trail also enables adherence to even the strictest regulatory compliance requirements.
